Job Description

Responsibilities

 

Oversee the daily operations of the UCLA Health Facilities department by providing support to staff and customers for all administrative needs such as:

·        Financial

o   Assist and ensure the submission all required documentation such as Vendor Quotes, Service Agreements, Sole Source Justifications, etc.

o   Manage Requisitions, Purchase Orders and Invoices

·        Operations

o   Screening work requests submitted or verbally requested to ensure timely completion

o   Provide trends to the facility manager and superintendents on timeliness of completion of work requests

o   Ensure that all Joint Commission (TJC) documentation is completed on-time and present in appropriate binder.

o   Maintain the hospital keying hierarchy and employee key records.

o   Ensure department compliance with all applicable regulatory codes, standards, permits, and licenses. Submit or ensure submission of required documentation to the appropriate organization

o   Ensure that all “Risk Assessments” and “Interim Life Safety Measures” (ILSM) have been initiated and completed as required. Maintain all documentation

·        Personnel Management (HR); in collaboration with Central HR as needed

o   Responsible for the onboarding and offboarding of all department employees. Submit all required documentation to the appropriate people/departments, as needed.

o   Maintain accountability with Sr. Superintendents to ensure their direct reports comply with and complete all required HR competencies.

o   Ensure 100% compliance with all departmental staff each month.

o   Maintain satisfactory attendance and follow department protocols when notifying appropriate personnel in the event of any unscheduled absence.

Qualifications

 

Strong written and verbal communication skills.

Must be proficient in Microsoft Office suite.

Proficiency in AutoCAD, MS Project, Visio, and or Access a plus.

Work and education history demonstrating strong organizational and administrative experience.

Previous hospital experience required.

Proficient in reviewing compliance with current Joint Commission LS and EC standards.

3 years Hospital Administration experience
